VFAC Code of Ethics and Conduct
We are committed to promoting a safe, inclusive, and respectful environment across all club activities, including training sessions, races, social events, and online spaces such as Discord. In line with the Code of Ethics and Conduct from Athletics Canada and BC Athletics, all members are expected to act with integrity, treat others with dignity and respect, and contribute to a positive and supportive community.
Expected Conduct
This includes:
- Communicating respectfully in all interactions, both in person and online
- Being mindful of others’ physical and emotional safety
- Following the rules and spirit of the sport
- Using club spaces and platforms appropriately.
Unacceptable Behaviour
The club will not tolerate behaviour that undermines these expectations. This includes, but is not limited to:
- Discrimination, harassment, bullying, intimidation, or exclusionary behaviour, including statements, comments, or actions based on sex, gender, age, race, weight, ability, sexual orientation, or other category
- Unsafe actions during training (e.g., reckless running in groups, ignoring route or safety guidance)
- Cheating or violating race rules (such as unauthorized transfer of race bibs, misrepresenting results, or participating without official registration)
- Misuse of club spaces, including promoting personal business or recruiting for political, religious, or other organizations without prior approval.
- Inappropriate solicitation of members for money, donations, or personal financial gain through club communications or platforms, without prior approval from the club executive.
These standards apply equally to in-person and online interactions. Members are expected to represent the club positively at all times, recognizing that their conduct both within and beyond club activities reflects on the club and its community.
Consequences of Unacceptable Behaviour
Adherence to this Code of Conduct is a condition of membership. Concerns will be reviewed by club leadership, and responses will be proportionate to the severity and frequency of the behaviour. Disciplinary actions may include:
- Verbal or written warning
- Temporary suspension from club activities or communication channels
- Expulsion from the club.
Reporting Concerns
The committee will maintain an internal process to ensure concerns are handled fairly, consistently, and confidentially. Members who experience or witness issues are encouraged to come forward and may contact Sam or Shirley at the email addresses below for support, guidance, or to report concerns.
